Donate to Reduce (“we”, “us”, “our”) operates donatetoreduce.co.uk (the “Site”). We are a private company providing free collection services for unwanted clothing and similar items in Hertfordshire. For data protection law we are the “controller” of your personal data.

2. What data we collect

We only collect what we need to run the service:

  • Name
  • Collection address and any access notes
  • Email address
  • Phone number
  • Messages you send us through forms, email, SMS, or phone

We do not intentionally collect special category data.

  • Directly from you when you make a booking or contact us
  • Automatically via cookies and similar technologies when you use the Site (see Cookies)

4. How and why we use your data, and our legal bases

We process your personal data to:

  • Provide and manage collections, send confirmations and updates, and contact you about your booking by email or SMS. Legal basis: performance of a contract.
  • Send a post-collection review invite, including via Trustpilot, to improve our service. You can opt out at any time. Legal basis: legitimate interests.
  • Respond to enquiries, troubleshoot, and improve our service. Legal basis: legitimate interests.
  • Keep records, ensure security, and comply with legal obligations. Legal basis: legal obligation and legitimate interests.

We do not use your data for direct marketing.

5. Cookies and similar technologies

We use essential cookies to make the Site work. If we use non-essential cookies, we will ask for your consent on your first visit and provide a way to change your choices later. See our Cookie Policy for details.

6. Who we share your data with

We do not sell your personal data. We share it only with:

  • Service providers acting on our instructions, such as website hosting, email and SMS providers, form and security tools, and IT support
  • Trustpilot to send a post-collection review invitation by email or SMS on our behalf. Shared data is limited to what is needed, such as your name, email address, booking date, and a reference

Where a provider is outside the UK, we use appropriate safeguards for international transfers, such as an adequacy decision or approved contractual clauses.

7. Security

We apply technical and organisational measures to keep your data secure, including TLS encryption in transit, access controls, and least-privilege administration. No system is perfectly secure. We review controls regularly. If a personal data breach creates a risk to you, we will notify the ICO within 72 hours where required and contact you without undue delay when the risk is high.

8. How long we keep your data

We keep booking records and related communications for up to 12 months from collection, unless we need to keep them longer to comply with law or resolve disputes. After this we delete or irreversibly anonymise the data. Copies in backups are deleted on the next standard backup cycle.

9. Your rights

You have the following rights under UK GDPR:

  • Access your personal data
  • Rectify inaccurate or incomplete data
  • Erase data in certain cases
  • Restrict processing in certain cases
  • Portability of data you provided to us, where processing is based on contract and carried out by automated means
  • Object to processing based on our legitimate interests
  • Withdraw consent where we rely on consent, for example non-essential cookies

10. Children

Our service is for people aged 18 and over. We do not knowingly collect data from children.

We do not carry out automated decision making that produces legal or similarly significant effects.

13. Changes to this notice

We may update this Privacy Policy from time to time. The “Last Updated” date shows when it was last changed. Significant changes will be highlighted on the Site where appropriate.
